ABOUT THE POSITION
Job Title: Investment Operations Associate
Employment: Exempt – FT
Location: New York, NY; Fort Lauderdale, FL; Seattle WA (Hybrid)
Salary Range: USD 80,000 – 100,000 plus annual discretionary bonus
We are seeking an exceptionally talented Investment Operations Associate to join our team. This role will primarily focus on supporting GQG’s Retail Separately Managed Account (RSMA) business. The successful candidate will also assist with trade and investment support, portfolio reconciliations, calculation verification, and custody and client reporting. We are looking for a self-starter who is ambitious, detail-oriented, and enthusiastic about collaborating with both Client Service and Operations teams to enhance and streamline current processes.
PRIMARY RESPONSIBILITIES
- Oversee all aspects of the RSMA business.
- Serve as the primary contact for daily communication with Archer, custodians, and RIAs.
- Monitor daily cash and position reports for RSMA accounts, taking appropriate action when necessary.
- Manage account onboarding and offboarding on Archer’s platform.
- Conduct monthly oversight of account billing and rebate processing for intra-month terminations.
- Communicate with trading analysts to resolve model discrepancies.
- Ensure daily uploads of holdings to the OMS and collaborate with Compliance as needed.
- Escalate unresolved share allocation issues (may require working after business hours).
SECONDARY RESPONSIBILITIES
General Team Activities
- Perform daily front-office reconciliation and resolve issues promptly.
- Provide oversight for back-office reconciliations and escalate concerns when necessary.
- Review and distribute total market value reconciliations.
- Conduct IBOR-to-Fund accounting reconciliations daily, weekly, and monthly.
- Verify fund NAV calculations.
- Manage custodian-required reporting, including performance uploads and position/cash/TMV reconciliation sign-offs.
- Assist with audit-related and client-specific reporting.
Proxy Voting Oversight
- Oversee proxy voting and associated vendor management.
- Reconcile shares for voting and document results, including deviations from ISS recommendations.
- Collaborate with internal stakeholders to execute voting decisions and client-directed proxy reporting.
Corporate Actions
- Oversee and manage the corporate action process, ensuring actions are processed and reconciled within portfolios.
- Coordinate with the Investment team to collect and cast voluntary corporate action votes.
Billing Support
- Support the preparation and confirmation of client billing/invoices.
Documentation and Communication
- Document and update procedures for investment operations processes.
- Respond to internal and external communications.
- Provide support for global market openings with internal stakeholders.
Trade Support
- Validate trade details (e.g., settlement dates, commissions) prior to release.
- Ensure successful trade delivery and acknowledgments with the middle-office provider.
- Collaborate with the trading team to finalize trade allocation and confirmation.
- Proactively monitor and resolve T+0 trade matching issues between middle-office vendors and brokers.
- Address broker short settlement issues in coordination with the trading team.
- Assist in launching new products.
Trade and Investment Support
- Provide oversight and escalation support for trade matching and settlement processes.
- Monitor cashflows proactively, including overdrafts and relevant cashflow entry into the OMS.
- Oversee foreign exchange (FX) management for non-base currency transactions in collaboration with the trading and client operations teams.
- Manage broker setups, including commission details and market-specific requirements.
- Support TCA and soft dollar analysis/data organization as needed.
Additional tasks may be assigned, including compiling data, generating reports, or organizing information.
QUALIFICATIONS
- Bachelor’s degree, preferably in Finance or Business or a related field.
- 3+ years of experience in investment management or the financial services industry.
- Strong understanding of long-only buy-side trading operations.
- Comprehensive knowledge of investment books of record (IBOR) and their interaction with investment vehicle books of record.
- Proficiency in Microsoft Office Suite (Word, Outlook, PowerPoint, Excel, SharePoint).
- Proven ability to work effectively across all levels of staff.
- Strong organizational and time management skills, with the ability to manage multiple projects and meet deadlines in a fast-paced environment.
- Detail-oriented with excellent communication skills.
- Flexible and adaptable schedule to accommodate meetings in global time zones.
- Ability to work independently while driving process improvements, standardization, and automation.
- Critical thinking skills and the ability to work effectively in ambiguous situations.
The base salary offered will be determined by various factors such as geographic location, relevant experience, education, and qualifications.
